The American Civil Liberties Union of Missouri, Foundation Inc., “ACLU-MO” seeks an organized, resourceful, and detail-oriented Operations Associate to join our team. This full-time position will keep our nonprofit running securely, compliantly, and efficiently across both of our affiliate offices. This multifaceted role will manage our IT vendor relationships, safeguard our data privacy and security systems, and assist with critical HR benefits administration. Additionally, they will serve as the administrative anchor for our Board of Directors, ensuring high-level organizational compliance and governance while coordinating facilities and operations across both sites. This position reports directly to the Deputy Executive Director (DED).

KEY RESPONSIBILITIES

Multi-Office Operations & IT Vendor Management

  • Maintain daily operational continuity and serve as the on-site operations point of contact.
  • Serve as the main liaison for external IT managed service providers and technology vendors.
  • Manage user accounts, software licensing, and multi-site technology asset inventory (laptops, hardware).
  • Enforce internal data privacy standards, multi-factor authentication, and donor data security protocols.
  • Coordinate cybersecurity awareness training for all staff members.
  • Maintain office safety protocols, manage security access, and ensure compliance with local regulations.
  • Draft updates for the daily office procedures manual to keep operations running smoothly.

HR Support & Benefits Administration

  • Coordinate the onboarding and offboarding process across both offices, including tech setup and assist with HR paperwork.
  • Assist staff with benefits enrollment, answer routine inquiries regarding insurance, and send periodic health benefits updates to staff.
  • Maintain highly confidential, organized digital personnel files.
  • Maintain records for organizational insurance policies and coordinate annual renewals.

Board Governance & Compliance

  • Coordinate logistics and materials for Board of Directors meetings, compiling committee packets, and tracking organizational compliance filings.
  • Track and execute state annual filings, corporate registrations, and internal governance requirements.
  • Maintain the official repository of board resolutions, bylaws, confidentiality and conflict-of-interest forms.

In addition to the above responsibilities, other duties as assigned.

QUALIFICATIONS AND SKILLS

  • 2-4 years of experience in nonprofit operations, HR administration, or risk/insurance management.
  • Valid driver’s license, reliable transportation, and the ability to travel between our two office locations.
  • Comfort managing administrative dashboards (e.g., Google Workspace, Microsoft 365) and a strong baseline understanding of data privacy best practices.
  • Proven ability to handle highly sensitive board, donor, employee, and insurance records with complete confidentiality.
  • Exceptional project management skills with the ability to balance strict compliance deadlines, multi-site needs, and daily staff requests.
  • Exceptional attention to detail, an ability to juggle multiple tasks at once, and impeccable organizational skills.
  • Working knowledge of general office equipment i.e., copiers, printers, phone systems.
  • Ability to think proactively, anticipate problems, develop creative and effective solutions, and take the initiative to facilitate smooth operations for all staff confidently.
  • Ability to develop effective organizational systems and understand the practices and policies that are necessary to help maintain a high-performing, employee-friendly environment.
  • Excellent oral and written skills. The ability to communicate and work effectively with staff, board members, donors, and the public.
  • Superior proofreading skills are a must.
  • Absolute commitment to maintaining confidentiality regarding executive and organizational matters.
  • Ability to jump in and help on any project and learn new things quickly.
  • Willingness and availability to work occasional evenings and weekends with advance notice, during office events, meetings, or busy seasons.

PHYSICAL REQUIREMENTS

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

COMPENSATION AND TERMS

ACLU-MO offers a generous benefits package, which includes paid vacation, sick leave, and holidays; medical, dental, vision, life, and disability insurance; employer contributions to a 401(K)-retirement plan; professional development; and travel reimbursement. This is a full-time, exempt position under the Fair Labor Standards Act. The base salary for this position is $55,000.
